WISE & Healthy Aging is seeking candidates to fill a full time (40 hours per week) and part-time (20 hours per week) office coordinator position. Successful candidates will provide efficient and effective telephone support, visitor reception, customer service, database management and administrative support for the corporate offices of WISE & Healthy Aging. Duties include but are not limited to:

  • Answer telephone calls from “live” phone system for WISE & Healthy Aging. Greet and direct callers to appropriate staff for assistance. Assists callers in identifying appropriate staff person if they haven’t identified anyone.

  • Greet all walk-in visitors and clients and direct them to appropriate staff for assistance and provide walk-in visitors with general program information, as necessary.

  • Responsible for database management of different programs including the development, maintenance and updating of centralized data systems.

  • Provide administrative support for various programs.

  • Provide back up assistance to the data-entry coordinators in order to meet deadlines which includes review of all source documents to ensure accuracy, input of data into appropriate data system, and generate reports for funding sources as required.

  • Maintain professionalism, positivism and confidentiality at all times.

  • Run errands for programs as needed.


  • Bilingual – Spanish preferred. High School Diploma / GED required. Some college preferred. A minimum of two years work experience providing clerical support and providing customer service or receptionist duties in a high-paced administrative office. Typing speed of at least 55 words per minute. Strong proficiency in MS Access, Word, Excel, PowerPoint and Outlook. Two years experience in database management with MS Access or similar database software. Experience working with older adults in a social services setting preferred. Excellent customer service skills projecting a positive image of WISE & Healthy Aging and excellent written and verbal communication skills. Ability to handle multiple tasks and busy phones efficiently and pleasantly. Detail-oriented and able to prioritize duties effectively. Good judgment in dealing with people with mental health challenges.

    Must have reliable transportation and valid car insurance.
